Field Service Completion Pack

Turn a site visit into a clear written record of the work performed, the checks completed and the items still awaiting review. Use the template in your existing service email thread.

Six parts of a useful completion handoff

1. Match the approved scope

Record the work order or PO reference, the permitted site identifier, the visit date and time zone, and the specific task that the client approved. Keep additional work separate.

2. Describe the work performed

List the actions actually completed and any approved replacement or configuration change. Distinguish completed, partially completed and not attempted work.

3. Show the verification evidence

For each agreed acceptance check, record the expected result and the observed result. Link evidence by reference in an approved system; redact credentials, personal details and unrelated screen content.

4. Keep open items visible

State what remains unresolved, the operational impact, the responsible owner and the next update time. Escalate urgent service or safety issues through the agreed contact path.

5. Request explicit client review

Ask the authorized client reviewer to accept the completed scope or identify corrections in writing. Keep the status pending until that response is recorded; silence is not acceptance.

6. Close the record carefully

Record the client response reference and handover of approved documentation. Extra work, travel, parts or purchases require separate written client confirmation and a PO before commitment.
